Start with the Structure

Open a blank Google Sheet and create these columns: Item Name, Seller Link, Item Price, Shipping Cost, Agent Fee, Total Cost, Status, Tracking Number, Notes, and Date Ordered. These ten columns handle every scenario from a single impulse buy to a full reseller inventory. Freeze the first row so your headers stay visible as you scroll.

Set the column widths to something comfortable. Item Name should be wide enough for full product titles. Seller Link can be narrow because the URL itself is not meant to be read, just clicked. Status should be narrow because it is a short word. These small layout choices make the sheet faster to use.

Add the Core Formulas

The most important formula is the total cost calculation. In the Total Cost column, enter a formula that adds Item Price, Shipping Cost, and Agent Fee. For example, if those columns are D, E, and F, the formula is =D2+E2+F2. Drag this formula down the entire column so every new row automatically calculates.

Add a summary section at the top of your sheet. Use SUM to calculate total spending. Use AVERAGE to find your typical shipping cost. Use COUNTIF to count how many items are at each status. These formulas give you instant insights without scrolling through rows.

Format for Speed

Use conditional formatting to color-code your status column. Make 'Pending' yellow, 'Shipped' blue, 'Delivered' green, and 'Issue' red. This transforms your sheet into a visual dashboard where you can see the health of your orders at a glance.

Add data validation to the Status column. Create a dropdown with your standard labels. This prevents typos and keeps your data clean. Add data validation to the Agent Fee column with a percentage list. This makes entering fees faster and more consistent.
